Employee Resignation


Upon receipt of letter of resignation, the following steps should be undertaken

Step 1 - Immediate Supervisor



  • Immediate Supervisor to receive the letter and discuss with the employee
  • Forward letter to the Human Resource Department with employee explanation, immediate supervisor's comments and suggestion for consideration or completion of the resignation process.
Step 2 - Human Resource Department


  • Determine that the resignation is voluntary
  • Consider Immediate Supervisor's suggestion or comments.
  • Ensure the letter of resignation does not contain allegations of breach of contract, etc.
  • If it does, investigate the truth of the allegations immediately
  • If allegations are true, rectify and communicate with the employee accordingly
Step 3 - Human Resource Department



If voluntary resignation;
  • Prepare acceptance of the letter of resignation stipulating the following:
  • Employee's last day of work
  • If the employee is required to serve his notice period or the employer intends to pay him in lieu of his notice period
  • If the employee is required to finish the balance of his annual leave before his last day of work, etc.
  • Exit interview date, time and place and the person who will be meeting the employee.
  • Handover process and timetable for the company's assets and responsibilities to whom it will be handed over. i.e. Handover checklist
